This is a professional position in which the administrative assistant will support the program manager and directors of two programs: Construction Engineering Management Program (within the Department of Civil & Environmental Engineering), and the NYS Center of Excellence in Healthy Water Solutions (co-lead by Clarkson University and SUNY ESF).
This part-time position provides essential support for the programs, ranging from day-to-day administrative duties, to event planning and social media. This position offers opportunities for professional growth and career advancement.
● Participate in program meetings and take meeting minutes
● Monitor and manage program email accounts
● Manage program calendars
● Update program websites
● Create content for monthly newsletters
● Plan and create social media posts, monitor sponsor and related sites for reposting and commenting, support and aid social media plans for the respective organizations
● Assist with event planning, room reservations, set ups, management, and execution.
● Creating marketing materials for events such as emails, flyers, and announcements.
● Track and manage budget expenses, especially grant funds and project accounts based on provided reports
● Manage and update a multitude of databases
● Manage and track inventory of supplies and equipment, order supplies
● Accounts payable and receivable, process expense reimbursements, create purchase requisitions, process deposits
● Ensure compliance with university policies and procedures
● Perform other duties and functions as assigned or requested.
Education:
Minimal Education:
● Associate’s degree required
Preferred Education:
● Bachelor’s degree
Experience:
Minimal Experience:
● 1 to 3 years of professional office experience
Preferred Experience:
● Prior experience in higher education
● Prior experience in event planning
● High level of organizational skills; must be detail-oriented
● Exceptional communication, both written and oral
● Demonstrate professionalism in interactions with students, colleagues, and the public
● Ability to maintain strong performance and positive relations with others while under pressure
● Exhibit flexibility and willingness to learn; open to training and other educational opportunities
● Proficient in Microsoft Office products and Google Suite
● Expertise and savvy with social media (content creation, interaction, creativity, and posting)
● Ability to easily learn new skills and software
● Ability to effectively and quickly adjust to changes in work tasks or work environment
● Ability to operate independently with a high degree of autonomy
● Work collaboratively and well in a team environment
● Occasional evening and weekend hours may be required
